Lesson 17 · about 6 minutes · by David Pannell, broker and Certified Probate Expert

Tools you need to stay consistent

Short answer: Keep your toolkit short: a CRM to track conversations, cloud storage for scripts and templates, MLS and expired-listing data, an app for notes while you drive, and a dialer if you call. Add tools only when a process is working. Your system and your follow-up matter more than any single tool.

What do I actually use?

  • A CRM to track conversations, segment leads, and automate follow-up. I use a CRM through GGMS. I'm a GGMS customer, and I receive a discount from GGMS. A GGMS account is a separate purchase.
  • Google Drive for business forms, data, call scripts, and marketing templates.
  • MLS access and expired-listing data to spot missed opportunities and check property history.
  • A driving and notes app if you use drive-by lists.
  • A dialer if you plan to make many calls.

What does the weekly rhythm look like?

  1. Mail. Send letters or postcards regularly. It supports your calls and builds familiarity.
  2. Call. Reach out to the people on your list.
  3. Qualify. Only a small share will be ready. Add them to your CRM.
  4. Follow up. Build a cycle, such as every three weeks, based on your last conversation.
  5. Review. Track conversations and improve every week.

How do you ignore the noise?

Don't get distracted by people who claim big numbers. Focus on building your own system, tracking conversations, and building relationships. A smaller number of well-handled situations is better than many rushed ones.

What should you remember?

Commit to the process: use the tools, stick to your plan, and focus on quality over quantity. This lesson is educational. Results depend on your niche, your effort, and your follow-up.

Try this week

  1. List the tools you use now and what each one is for.
  2. Remove or pause one tool you don't use.
  3. Pick one weekly time to review your conversations.
